GENERAL
Tour Rwanda Gorillas organizes safaris in Rwanda, Uganda, and Burundi. Please take note or read these Terms and Conditions carefully as they disclose the environment in which we offer our services and form the firm foundation of your contract with us. In the terms and conditions, there are words like we which means tour Rwanda gorilla the company, and you which means all the parties/persons included in the booking. These terms are always revisited and amended promptly or regularly due to alternating situations. All you have to put in mind conditions in Africa are not the same as in the developed countries for instance social services like medical facilities security and safety are relatively lower than the ones in the Western world but we try so hard to make them better for our clients.
WHAT IS INCLUDED IN OUR SAFARI PRICES
the price quotation of our safari packages comprises all accommodation, all ground transportation in an exclusive 4×4 safari vehicle, gorilla permits, chimpanzee permits, a full-time English-speaking driver guide with all his expenses, all meals (except some en-route meals), national park entrance, range guide, water and snacks in the vehicle, boat/launch rides and all the relevant applicable taxes and administration fees. However, there are some travel expenses that are excluded like any personal items like drinks, telephone bills, drinks, cigarettes, porters for gorilla tracking, international flight fees and visa fees, travel insurance, tips for driver, hotel staff and other extra items not mentioned in the itinerary.
We hold the right to change the safari services agreed upon with the client in situations that are unforeseeable i.e. vehicle breakdown and accident, road closures, security issues, and bad weather.
ACCURACY OF INFORMATION
The information and the outlook given by us in accordance with the itineraries, game viewing, accommodation, gorilla permits, and security are of good interest and structured on updated information. We carefully ensure that our clients are provided with factual and truthful information. However, we cannot agree to be liable for any mischief, mistakes, or omissions caused by occasions beyond our reach.
NB full payment of the bookings should be made within four weeks of starting the safari tour.
ACCOMMODATIONS
we offer our clients exquisite and nice lodges/hotels/camps which have world-class facilities, hospitable and helpful staff, and affordable prices. We request our clients beforehand to disclose if they have nutritional regulations so that we can inform the accommodation establishments’ management in advance to see out the issue.
NATIONAL PARKS
collection of any specimen from the natural environment like a plant, animal, soil or mineral without authorization is strongly condemned. Usually, our safari tours give the opportunity to watch and take photos of wildlife only but not disrupt it.
COMPLAINTS
If you have any queries, they should be forwarded immediately to the Tour Manager. They will do all in the best within their capacities to help you out. It should not be later than 20 days after your safari tour completion.
UNAVOIDABLE CIRCUMSTANCES
we aggrieved, we cannot make it up or compensate for any loss where the performance of our responsibilities and duties are antagonized by any situation which we the service providers could not forecast or avoid even after taking precautions. Such situations include terrorist activities, war, natural disasters, extremely bad weather conditions, epidemics like disease outbreaks, unexpected government practices like border closure, road closure, state of emergency declaration, civil conflicts, and other incidents that can go beyond manageable works.
Some tour activities are prone to risks of personal injuries as you may have included in your itinerary. These include; Whitewater rafting, walking tours, gorilla tracking, chimpanzee tracking, canoe/boat rides, and mountain hiking. All you need to acknowledge is that engagement in these activities is at your own risk and we do not have responsibility for your safety.
INSURANCE
it is a mandate while booking your travel holiday that you acquire personal travel insurance. People who are not in shape for long haul trips due to some issues like mature pregnancy, physically impaired, heart diseases, mental illness, and chronic issues are not recommended to take these somehow physically challenging tour expeditions. The insurance, you acquire should cover for accidents, theft of clients’ property, medical expenses, death, and injury. Also, activities such as gorilla tracking, mountain hiking, and rafting should be covered.

GORILLA PERMITS
as soon as the payment of the permit is made, the gorilla permits are acquired. However, you have to note that you have to make a booking of the gorilla permit in advance since they are scarce as very many people purchase them. Getting a gorilla permit does not guarantee you seeing the gorilla. The chance of seeing the gorilla is 98%
Gorillas usually live in very far hilly forested areas and this makes gorilla tracking very challenging due to some bad weather conditions you might find them in very hidden places that cannot be reached by people. Sometimes there might be the closure of the national park or border and security changes which the authority cannot allow you to track the gorillas. So due to such circumstances that might lead to seeing the gorillas canceled or not possible and we are not liable for the disappointment.
Refund of the money of the gorilla permit remains the right of the relevant authority and we cannot permit liability. We make maximum efforts to obtain a refund and when paid by the authority responsible then pass forward it to the client.
PAYMENT
in the course of booking your safari tour, you must confirm that you are going to comply with our terms and conditions and pay the initial deposit of 30% of the total price of the tour package including the fees for watching some special animals like gorilla permits and chimpanzee permits. The balance of the money must be paid before the start of the safari.
Note that full payment of the safari package should be done within the week of starting your tour.
BAGGAGE
All personal belongings and luggage should be taken care of by the traveler and always at their own risk.
TAKING PHOTOGRAPHS ON TOUR
we hold the right to take photos of individual tourists to use in commercials or promotions of our tour safaris. Whoever would not want his or her not to be taken, should alert the tour guide before the commencement of the trip.
WHEN YOU CANCEL
should there be a situation where you have to cancel the safari, you must inform the company in written form. A cancellation is mature till we receive a written notice copy from you. A safari tour confirmed and canceled is considered a loss so in order to make up for the loss made we have cancellation fees charged per person as below:

WHEN WE CANCEL
It is on rare occasions that we cancel a confirmed booking of a safari. We always make efforts to avoid cancelling but sometimes we apt the right to do so. We only cancel safaris as a result of abnormal and unforeseeable incidents beyond our reach. When we cancel your holiday with the exception of failure to pay for the safari holiday or as a result of unavoidable calamities, we give you an opportunity of taking up another tour package holiday of the exact standard as the canceled one if at all available.
If you choose an alternative that is less expensive than the cancelled one we shall have a right to refund the difference of the money. However, if the chosen one is more expensive, then you will be requested to top up the money.
if you do not want to take an alternative safari after our cancellation, you have the right to claim all your money but in the case of a gorilla permit, we shall refund if the refund is available from the authority concerned of the gorilla permits.
NB we shall have no extra charges to you. It is a pity we cannot for the charges and losses incurred as of any cancellation.
CANCELLATION POLICY
Cancellations received will be in correspondence with the following payment of tour cost:
101 days and above 20% of the safari cost
61-100 days 30% of safari cost
46-60 days 50% of the safari cost
15-45 days 80% of the safari cost
0-14 days 100% of safari cost
You should note that cancellation fees are charged due to the date your written notification is received.
DECLARATION
My submission of a deposit to Tour Rwanda Gorillas declares that I have fully read and understood the Terms and Conditions, especially those regarding refund policies and cancellation, responsibility abided by trip participants, and limitation of liability. On the payment of a deposit to Tour Rwanda gorillas, the depositor, his or her family, and the beneficiary agree to be bound by the above Terms and Conditions.
